OneWhat these terms cover
These terms apply to all group bookings and functions at The Town Padel, whether we run the session for you or you hire the courts and run it yourselves.
They apply in addition to our general Terms and Conditions. Where the two differ, these terms apply to your booking.
TwoWhat you can book
Round robin package. We run the session for you. A staff member gives a rules introduction, runs the round robin and the final. Minimum 12 players, minimum 2 hours.
Court hire. You hire the courts and run yourselves. A staff member gives a short rules introduction and then leaves you to it. No minimum.
ThreeConfirming your booking
We quote one price covering courts, equipment and staffing.
Your booking is confirmed when payment is received. Nothing else confirms it, including agreeing a date by email or phone.
When you accept a quote we send you a payment link and hold your date for 7 days. If payment is not received in that time the date is released and becomes available to others.
Full payment is our standard. If you would prefer to pay a 50% deposit and settle the balance closer to the date, tell us when you accept the quote and we will arrange it.
FourCourts and hours
The number of courts you get and the length of your session are set by the size of your group. They change only if your group size changes, under section 5.
If you want more courts or more time than your booking includes, ask us and we will check what is free. We cannot hold either for you, and in November and December there is rarely anything spare.
Public holidays are quoted individually.
FiveNumbers
We quote you on a range of players, for example 15 to 21. That range sets your courts, your hours and your price.
Your price covers anyone within it, so if a few people drop out or a few more come along, nothing changes.
If your numbers drop. You can move down to a smaller range, and pay the smaller price, up to:
- 30 days before events held between 15 November and 31 December
- 14 days before events at any other time of year
After that your price is locked and applies whoever attends. If you book inside that window, your price is locked from the moment you book.
If your numbers grow. Moving up to a larger range depends on courts and hours being available and will be requoted. We cannot promise it, particularly in November and December.
SixFinal numbers and player names
We need your final number of players 7 days before your event, whichever you have booked. That date sets your final price and lets us roster the right staff.
If you have booked a round robin package we also need the names of everyone playing by the same date, so we can build your draw. If we do not have them we cannot build a draw, and your session will run as social play rather than a round robin. Your price does not change.
Send both to hello@thetownpadel.com.
SevenStaffing
Staffing is set by your final player list. Where your numbers require additional staff, this is charged at cost and added to your invoice.
EightGroup size
Round robin packages run to a maximum of 64 players. If your final numbers exceed 64 we will still host your group, but the session runs as court hire with a rules introduction rather than a round robin, because a round robin at that size leaves everyone waiting more than playing. The agreed price does not change.
Court hire bookings for 40 people or more include an additional staff member and an equipment charge on top of the court rate. This applies whether or not we are running the session for you.
NineCancelling
If you cancel:
- More than 30 days before an event held between 15 November and 31 December, or more than 14 days before an event at any other time of year: full refund.
- From that point until more than 7 days before your event: we retain 50%.
- 7 days or less before your event: no refund.
Your cancellation terms and your change deadline are the same date, so once your numbers lock your booking is non-refundable.
TenWeather
We may postpone or cancel an event if conditions make play unsafe or the courts unplayable. If we do, you can reschedule at no extra cost, subject to availability, or take a full refund of everything you have paid.
If your event starts and is then cut short by weather, we will offer a credit for the court time you lost. Where a credit is not practical we may offer a partial refund instead.
If you cancel because of weather without us confirming the courts are unplayable, the cancellation terms in section 9 apply.
ElevenFood and drink
Bar and catering are available and quoted separately. You are welcome to bring your own food, and there is a barbecue on site you can use. Bringing your own alcohol is not permitted.
For larger groups we will ask at booking what you plan to drink. If your event needs additional refrigeration we hire it in and charge it at cost. We will always agree this with you before your event, never afterwards.
TwelveMinors
Anyone under 18 attending a function must be supervised at all times by a responsible adult, meaning a parent, guardian, or an adult acting in that role. Alcohol is not supplied to anyone under 18 under any circumstances.
ThirteenDamage, conduct and liability
Our general Terms and Conditions apply to everyone attending your event and cover court footwear, conduct, photography, liability and damage to personal property.
Damage to The Town Padel during your event is the financial responsibility of the person who made the booking.
